Submit the application to Kone Foundation before the deadline. Applications cannot be sent via email or post. If you have questions regarding your application or problems filling it in, please contact us using the Messages function in the top right corner of the page. We will reply to your message as soon as possible. Please note: after the deadline, 27 March, 4 p.m. (Finnish time) applications cannot be edited in any way. Only applications submitted during the application period will be considered. After submitting the application, the status of the application will be marked as ‘Application received’. No separate email will be sent upon receipt of the application. Within a week of the deadline, the status of the application will update to ‘Application under evaluation’. Application language The application form is available in Finnish and English. We recommend that Finnish-speaking applicants or a group consisting entirely of Finnish speakers submit their applications and attachments in Finnish. If a Finnish-speaking applicant or a group consisting entirely of Finnish speakers submits an application in English, they are requested to write the title and summary in Finnish. APPLICATION FORM TABS Applicant Fill in the basic information. The application should include information on all group members or, at the very least, an assessment of how many people will stay at the Saari Residence at one time. The minimum group size is 3 people, and the maximum is 18 people. We need to know the group size so we can organise accommodations for the residencies. One apartment houses 1−3 people; the maximum number of people is 18. All group members must commit to residing and working at the Residence during the period you have been awarded a grant. Additionally, the application should list the names of the workgroup members who will not attend the residency period in Saari. It is not possible to accommodate group members for short-term visits if they are not working at the Residence. Other members are welcome to visit, but they cannot stay overnight. If you’re applying as an organisation with a Finnish business ID, please note that the registration numbers recorded in the Register of Associations are no longer in use. Business IDs have been used since September 2019. Monthly grant classifications for individual residencies Choose the applied monthly grant classification: €2,700 / month (early career) €3,200 / month (mid-career, min. 10 years of artistic work) €3,800 / month (experienced, min. 20 years of artistic work). The size of the monthly grant varies according to the applicant’s experience. If the applicant is applying for a grant in category 2 or 3, they are required to provide details of their experience in their application. The grant classification cannot be justified, e.g., with the need for supplies or travel. Grant payment requires the recipient to live and work at the Residence. If the applicant is awarded a residency spot and receives another working grant simultaneously, a reduced monthly grant is paid, which is usually half of the grant sum. The grant for group residencies will be applied for on page 5 of the group residency application, “Funding for group residency”. Work partner If the applicant wishes to work at the Saari Residence during the individual residency periods with a work partner, they must apply for the residency using the same application form. Select the section “Applicant is a workgroup of two people” and fill out the required information. The application should mention particular needs for accommodation (such as sharing an apartment or requesting separate apartments). RESIDENCE Fields of art and keywords Keywords or fields of art that the project is related to can also be listed on the form. Please add fields or keywords that best describe your project and its themes. Preferred period of stay and duration at the Saari Residence In the application form, individual applicants must choose the work period most suitable to their needs. Applicants may opt for more than one choice; choose all suitable periods. Specific requests regarding the residency period may be expressed in the “Additional information and wishes” field. Work periods for the two-month individual residencies are as follows: Period 1: January to February 2025 Period 2: March to April 2025 Period 3: September to October 2025 Period 4: November to December 2025 Groups must choose all suitable dates for residency and the length of the residency period. Specific requests regarding the residency period may be expressed in the “Additional information and wishes” field. Groups may apply to use our facilities for 2–4 weeks between June and mid-August. Periods of one week are awarded only in special cases and are intended for groups, such as translators, who require group work facilities and who work in a seminar setting or something similar, such as a group of translators. Partner as an applicant If your partner is applying for a residency but with a different project, the applications must be done separately but please mention that you are both applying for the same residency period. The application should also state whether the applicant wishes to be accepted even if the partner is not. During the individual residency, it is possible to receive short-term guests, such as members of a workgroup. Workspaces You must choose the kind of workspace you require. For more information about the workspaces, please see Accommodation and workspaces. If you have needs or requests regarding your workspace(s), provide more information in the appropriate section. If you are applying for an individual residency, please indicate in the additional information if you are interested in a residency period, even if you do not have access to the space you prefer. In the section “Working at the Residence”, we also request more details about applicants’ working methods to ensure that we can assign workspaces according to the guests’ needs. Artists and workgroups are required to acquire all necessary materials themselves. Please inform us if you are interested in sharing your workspace. Please note! The Saari Residence decides how the facilities are used and distributed. Workspaces in the barn are limited and divided according to priorities. However, each artist or workgroup has their own workspace that they do not need to share. Family and children Families are welcome to the Saari Residence. The Residence has a limited number of apartments suitable for families, though a residency is primarily for the artists working at the Residence. If you want to apply for individual residency with your family, please tick the box “Family/Partner” “(I wish to come to the residency with my family/partner”). Also, give more details (who is coming with you, the age of the children coming to the residency, how you are arranging childcare etc.) in the section for additional information. Please also inform us whether you will accept the residency even if we are unable to arrange accommodation for you family. If awarded a residency, the carers are responsible for organising childcare while they work. If the members of a workgroup have small children (under school age) whose care cannot be organised in other ways during the residency, it should be marked in the application so we can take this into consideration. Daycare arrangements for children are the responsibility of the parents. In such cases, the group must organise bed linens, towels and travel cots for the children. If there is another workgroup working in the Residence at the same time, we will ask for their opinion about having children at the Residence. Accessibility Mark on the form and provide information if you need an apartment and workspace accessible for individuals with disabilities. Please specify your accessibility needs in the space provided, including if you have an assistant and what aspects of the space should be considered in terms of accessibility for movement, vision, hearing, communication. One of the apartments has been renovated to be accessible. It includes a kitchen, a accessible toilet and three rooms. This spacious apartment is on the first floor and can be accessed with an easy-access elevator. Further improvements will be made to the workspaces in the barn in the coming years. Please contact us to discuss any special requirements you may have. We will do our best to accommodate you in any way possible. PROJECT DESCRIPTION AND MOTIVATION Project description Fill in the working title. In the summary (max. 2,000 characters), please provide a short description of the main content of your project, methods of implementing the work, and timetable. There is also a section for applicants to present their artistic thinking briefly. You must also provide a more detailed work plan as an attachment. Applicants’ summaries are important in the evaluation of the applications – the summary is usually the first section the evaluator reads from the application. The Foundation may use applicants’ titles and summaries in the Foundation’s communications (such as on its website), and the text from these sections will be published if the grant is awarded. In addition to the summary, the applicant must attach a separate work proposal to the application. If you combine art and academic research in your artistic practice, please state such in your work plan. MOTIVATION The application form for individual artists includes the following questions regarding the applicant’s motivation and interests: What are your reasons for wanting to work and stay at the Saari Residence? (Also asked in the group residency form.) What kind of themes or things (besides your work) are you interested in? The Saari Well is the focus of the activities of the Saari Residence. What kind of ideas and expertise do you wish to share with the other residents, and what would you receive from them? Possible themes for the Saari Well? It is important to consider these questions carefully. Your answers may be central in deciding which artists will work at the Saari Residence at the same time. GROUP RESIDENCY GRANTS (GROUP RESIDENCY APPLICATION ONLY) Groups can apply for working grants for the duration of the residency period. The residency includes accommodations, workspace(s) and a working grant for each member of the workgroup. Residency grants for groups are based on the number of persons and the plan proposed in the application. The breakdown of the group residency grant is given in page 5. We do not grant group residencies support for materials, flights from Global North (or other means of transportation that are not ecologically sustainable) or daily allowance or salaries. In your application, please provide a detailed attachment of costs for the residency grant for the group. We ask that all group members commit to residing and working at the Residence during the period for which you have been awarded a grant. Please calculate the grants you are applying for based on the number of residency weeks and group members. Each member of a group working in the Residence is awarded a grant to cover their living costs, and this grant is awarded according to the number of weeks they spend at the Residence. The grant for each workgroup member residing in the Saari Residence is €800 / week. The grants for workgroups 1 week €800 € / person 2 weeks €1,600 / person 3 weeks €2,400 / person 4 weeks €3,200 / person The awarded sum may differ from the sum applied for, because the residency is not necessarily granted for the duration it was applied for, or there may be some other change that affects the sum. The sum to be awarded and the duration of the residency are detailed in the decision sent to residency grantees. The accountable project leader agrees on all payment details with the Foundation and the group members. If the grant is to be paid to a legal entity with a business ID, the payment request must include the identification number, reference number and the organisation’s contact details. SUPPORT FOR TRAVEL We encourage groups to apply for a longer residency period and support for ecological travel. This makes it possible to apply for a work grant for a journey by land or sea when it lasts longer than a week. For artists outside Finland, it is possible to apply for an ecological travel support, a slow travel working grant or a Global South travel support. Please leave this page blank if you are not applying for travel grants. If you receive a residency and a travel support for the same trip from elsewhere, you must notify the Saari Residence. We do not award overlapping support for travel, so one of the awarded funding must be withdrawn. In the application, please provide a short itinerary, and attach a more detailed itinerary with a breakdown of costs on page 8, “Attachments and Links”. The breakdown attached to the application must provide a realistic and accurate estimate of costs. Support for ecological travel Ecological travel refers to ecologically sustainable means of transport and avoidance of air travel. You can apply for support for ecological travel if you are coming to the Saari Residence from outside of Finland and travelling out of Finland when leaving. If the journey takes more than a week, it is possible to apply for a slow travel work grant; if you do so, please explain in your workplan how you will be working while travelling. If the journey takes more than a week in total, the work grant for the individual residency is calculated according to the following grant classification: 1 week is 25% of the full grant, 2 weeks 50%, and 3 weeks 75% etc. Workgroups can apply according to the second grant classification: 1 week is €800 € / person, 2 weeks €1,600 / person etc. If you are applying for support for ecological travel with your work partner, please do so at the same time. When preparing your itinerary, you may use online services like EcoPassenger to compare the energy consumption, CO2 emissions and other environmental impacts of planes, cars and trains. We recommend the Deutsche Bahn application when planning train journeys in Europe. Also, websites like Rome2Rio and The Man in seat 61 have many tips. If you use a ferry from Stockholm to Turku, we endorse choosing the overnight ferry Viking Line Grace or Viking Line Glory. You can read more about ecological travel on our website. It is possible to apply for funding for overnight stays in affordable accommodations if necessary. Support for ecological travel is awarded to the recipients and not, e.g., to family members. Select a cost category based on your travel plan. The level of support for ecological travel and living does not depend on the working grant category. Select a cost category based on your travel costs. We will review the ecological travel support before the residency period if the residency place is awarded. Explain how and according to what schedule you would be prepared to arrive at the Saari Residence from outside of Finland and, when leaving the Residence, taking the most direct route possible. If you are applying for a slow travel grant for more than one person (i.e., a group), please explain the travel plan of each person applying for support. Please provide a short itinerary and remember to attach a more detailed itinerary with a breakdown of costs on page 8, “Attachments and Links”. We do not award support for travel by land within the borders of Finland unless the journey starts outside the Finnish borders. Example of itinerary with a breakdown of costs (individual residency) Example of breakdown of costs and itinerary (group residency) Support for travels from Global South As part of the social sustainability, diversity and accessibility of the Saari Residence, artists coming from the Global South can apply for support for air travel and visa costs. For artists travelling from the Global South, the “Itinerary in brief” section of the form should include your flight plan and any travel related to obtaining a visa, for example if the visa requires travel to another country. In addition to the information provided on the form, please attach a separate breakdown of costs and a travel plan. The breakdown attached to the application must provide a realistic and accurate estimate of the costs. If the residency place is awarded, you are responsible for making your own travel arrangements to the Saari. If you come outside the Schengen states, you will need a visa to visit Finland. Please read more from the Ministry for Foreign Affairs’ webpage. Example of breakdown of cost Global South (individual residency) Example of breakdown of costs Global South (group residency) FUNDING FROM OTHER SOURCES List on the application form all working grants received during the preceding three years and any applications pending at the time of applying for Kone Foundation funding. Groups must list grants and funding they’ve received for the workgroup and pending applications for the same project – but not grants received by or pending for the individual members of the group. Inform immediately the Saari Residence office if you receive funding from any other source during Kone Foundation’s application and processing period. If an individual residency recipient simultaneously receives some other grant to support their work, a reduced monthly grant is paid (usually half of the grant sum). If an applicant is granted Kone Foundation residency funding without informing us of successful grant decisions from other sources, the Kone Foundation decision may be repealed. Let us also know if you are applying for more than one grant from the Saari Residence at the same time. In such cases, please name the application or project. Please let us also know if you have worked at the Saari Residence before. If you have, provide more details about your stay under “Additional details”. Your answers do not affect the evaluation of your application. We wish to know where you heard about the Saari Residence. If you are applying for an individual residency, please list the residencies you have attended during the last 5 years (each residency listed on its own line: name of residency, year and country). SELECTING THE EVALUATOR You must select which artistic field you want the evaluator assessing your application to represent (first choice). Please check the separate guidelines for Selecting the evaluator of the application. A maximum of two selections can be made, but it is worth noting that your first choice of expert will generally be the one assessing the application. ATTACHMENTS AND LINKS Before submitting your application, check which attachments are required for your application. See the section Description of the attachments. RECOMMENDATIONS Please read the section Appending a recommendation to the application for more information. PROXIMITY TO THE FOUNDATION According to the Foundations Act, all foundations are required to provide information about their related party transactions. The act has a broad definition of a related party of a foundation. Please note that related parties may apply for funding from Kone Foundation. FEEDBACK The feedback section is optional and can be skipped on the application form. We want to continuously improve our application process, so we invite you to give us your views. Your feedback will not affect the evaluation of your application and will not be visible to the evaluator. Kone Foundation aims to promote accessibility in its grant applications. In the feedback section, you can raise any comments, suggestions or concerns you may have, for example, regarding disabilities when using the application guidelines or the application form. Responses will be treated anonymously and confidentially by the Foundation. SUBMISSION The application must be submitted by the deadline, 27 March, 16.00 (Finnish time). Please note: applications cannot be edited in any way after the deadline. If you wish to edit your application after submitting it before the deadline, please choose “Cancel application”. This does not clear your application data. After editing the application, please submit the application again. The status of the application will then read “Application received”, and within a week of the deadline it will update to “Application under evaluation”. No separate email will be sent upon receipt of the application. After the submission period, you cannot change or submit your application anymore. Only applications submitted via the online service will be considered. Agreement Applicants must agree to the description of the processing of personal data and other conditions mentioned in our Privacy Policy Statement. Selecting the evaluator(s) for your application Review of applications is based on peer review. The applicant must select which artistic field they want the expert assessing their application to represent. A maximum of two selections can be made, but please note that the applications will generally be assessed by the applicant’s first choice of expert. The application will be evaluated by a wide-ranging expert in the artistic field that you choose as option 1. In multidisciplinary applications, more than one evaluator from different art fields may assess the application if it is essential for the application. You must state and explain why this would be necessary in your application. The processing of applications is based on peer review. The reviewers are specialists in the relevant field or sub-discipline under which the application has been collocated, and they have the necessary experience to assess applications. There is usually just one reviewer per application. This way we can choose more interesting projects than when there are many reviewers who might have to compromise. The roster of peer reviewers usually changes each year in order to guarantee a diversity of views. The evaluators change every year. The names of the evaluators are not disclosed. The evaluators do not see your previous applications or possible reports on your awarded grants. Evaluators come from the following fields: Audio-visual arts Literature Music Performing arts Visual arts ATTACHMENTS The applicant’s ability to successfully complete the project is evaluated based on the work plan, curriculum vitae and other supporting documents attached to the application. Before submitting your application, check which attachments are required for your application. All attachments must be uploaded by the deadline of the open call, 27 March, 16.00 (Finnish time). The application cannot be edited anymore after the submission period. Attachments and applications received afterwards are not considered. All necessary attachments should be uploaded to the Online Application Service and attached to the application as a PDF. The maximum size for one file is 6 MB. Please select the file type from the drop-down list on the online application form. If a file exceeds the limit (6 MB), you can split it into more than one file. You may also provide a link to a webpage, video platform or other online portfolio or demonstration of your work. Select the file type from the drop-down menu on the online application form. The only exception are degree diplomas and permissions for the public defence of academic dissertations that have been awarded after the deadline. They can be sent to the Saari Residence by 15 April via the online grant service. Please note that we cannot accept attachments by mail or email. Required attachments Individual residency Work plan (max. 4 pages) CV or equivalent Portfolio Group residency Work plan (max. 6 pages) CV(s) or equivalent Portfolio including examples of work Budget Description of attachments The purpose of the project proposal or work plan is to describe the applicant’s primary goals and how the applicant intends to accomplish those goals during their stay at the Saari Residence. The goal can be artwork or, more generally, artistic work and development of the artistic process. The project proposal may also include, for example, a description of working methods and a rough schedule. In the evaluation of proposals, attention is paid to: artistic merit feasibility implementation of the Foundation’s key focuses An effective project proposal should answer the questions “Why?”, “How?”, “When?”, “Who?” and, if applicable, “With whom?”. The work plan should be one to four pages in length. If you are applying for the slow travel grant, explain how and what your artistic work will entail/include while travelling. If the applicant is a workgroup, the role of each member of the group in the project should be indicated in the project proposal. The length should be more than one but fewer than six pages. In general, the workplan should include the following sections: the content; the aims and objectives of the project A description of the working methods The names of participants and possible partners If you are applying for a working grant in the context of ecological travel, please explain how travel time will be part of your work. Curriculum vitae (CV) The purpose of a CV is to provide a concise overview of the applicant’s training, experience and artistic merits. It should include significant exhibitions, performances, residencies, work assignments, grants and awards, as well as publications and other noteworthy accomplishments. The appropriate length for a CV is two to four pages. The application for a group residency must be accompanied by the CVs of all persons working on the project. We recommend that the CVs are combined into one file. Please also attach the CVs of other members of the core team if their contribution to the project is relevant. The CV can also be a link to an online CV. Portfolio The purpose of the portfolio is to give the evaluator an idea of the artistic work of the artist/workgroup. By portfolio, we primarily mean a digital portfolio (PDF) of the applicant’s artistic work. The portfolio is a free-form sample and evidence of the applicant’s form of expression, the quality of their artistic thought processes, know-how and special skills. You can decide on the content of the portfolio. The portfolio can include, in addition to samples of the applicant’s art, images, reviews, text, links or a list of written works. The portfolio can be submitted as a PDF (max 6 Mb), or you can compile it on your website and include the link in your application. Please include text samples (3-5 pages in Finnish or English) for written work. If you are applying for a residency for a working group, you can attach one joint portfolio to your application. Other attachments Residency grants for groups and attachments regarding support for travel (budget and itinerary) If you are applying for an individual residence and not for travel support, you do not need to include a separate budget with your application. If you are applying for a group residency, you must prepare a separate budget for the grants you are applying for. In addition to the separate attachment, the working grants for group residencies are also specified in the online application form. Even if you are only applying for part of the funding for your project from Kone Foundation, you must submit a funding plan for the entire project. A detailed and itemised budget will make it easier for the Foundation to make a funding decision. Indicate in the budget the parts that you request from Kone Foundation. Support for travel attachments If you are also applying for ecological travel support from outside Finland to Finland or from the Global South to Finland (including visa costs), you must submit a detailed travel plan with expenses in addition to the information you have provided on the form. Please estimate the costs as realistically and accurately as possible. Please explain how and according to what schedule you are prepared to arrive at the Saari Residence (i.e., an itinerary) and any possible slow travel working grants and accommodation costs. If you are applying for support for travel with your work partner, you can do that at the same time. Groups should specify who, how, and when, as well as any accommodation costs and working allowances for the trip if the total travel time exceeds one week. If the group also applies for the slow travel working grants, you can combine it with the rest of the budget in the same file. If you are applying for a working grant for your journey, explain in your work plan how you will be working while travelling. We do not award support for air travel. Exceptions are artists arriving from the Global South who can apply for support for air travel and visa-related expenses. See the itinerary example from here. Copies of certificates Applicants may include a copy of their most recent degree certificate or diploma or of any certificate that is relevant to the grant they are applying for. There is no need to have the copy stamped by a notary public. All supporting attachments should be sent with the application before the deadline. References Read more about references here. Appending a recommendation letter to your application Either a supervisor or other person familiar with your artistic work can submit a recommendation. A recommendation is not compulsory. Two ways to submit a recommendation 1) The recommendation source submits the reference via an email link Requests for written recommendations are emailed to potential recommendation writers on page 8 of the application form. You will need an email address from the recommendation source to request a recommendation. We also advise that applicants contact a potential recommendation source well before the application deadline to provide enough time to compose and submit the recommendation. The request will only be emailed once to each recommendation source, so please ensure that the email address is spelled correctly. If a request is sent to an incorrect email address, you can delete the incorrect information and add a new request. However, if you delete a writer of recommendation, any recommendation they may have made will also be deleted. Fill in the information requested on the form (first name, last name, phone and email address) and click Submit Recommendation Request. The request is automatically sent in Finnish and English and can be replied to in both languages. The recommendation writer will receive a link to the online grants service in the email. The writer of recommendation then submits their recommendation using the link emailed to them via the Kone Foundation online grant service, which directs the recommendation as an attachment to your application. Please note! If the writer of the recommendation has not received the request sent, we recommend checking the spam folder first. In the service, the writer of recommendation can view your project included as attachments to the application but cannot view any other parts of your application. Please note that updating or removing the attachment on the application will update the version viewable in the reference service. Submitted recommendations are not visible to applicants in the online service. 2) Attach the recommendation letter to your application yourself If you have received a recommendation letter personally and wish to submit it yourself, you may attach it to the application as a PDF. In this case, you must submit it as an attachment by the application deadline, 27 March 4 p.m. (Finnish time) Checklist for applicants Before applying for a residency place, please read through this checklist to plan your application according to our guidelines. 1. Make sure you are eligible to apply for the Saari Residence. Please read through Kone Foundation’s and the Saari Residence’s focuses in awarding grants and Who can apply?. Does your project match with them? Also, are you a professional within an artistic field? Kone Foundation does not fund non-professional activities. In addition we recommend reading our instructions for Saari residents. They contain important information about, for example, how to apply for a residency and how the residency works. 2. Which residency programme are you applying for and when? Individual residencies are always two months long in spring, autumn and winter, and we do not grant, for example, individual residencies lasting only one month or individual residencies in the summer months. You can also apply for an individual residency with a partner. Group residencies are for 2-4 weeks during the summer months. Groups must consist of a minimum of 3 and a maximum of 18 people. Please indicate in the additional information on the application form if you have any preferences regarding which periods or the dates suit you best. The grant awarded will be for work to be carried out in the following calendar year. Grants are not awarded retroactively. 3. What grant category are you applying for? From autumn 2023, the available grant categories are €2 700, €3 200 and €3 800 per month for individual residencies. The amount of the monthly grant will vary depending on experience. The grants for group residencies are based on the 2nd grant category. Individual residency grant classification: Grant 1: early career – €2,700 / month Grant 2: mid-career – €3,200 / month (min. 10 years of artistic work) Grant 3: experienced artist – €3,800 / month (min. 20 years of artistic work). If you apply for grant 2 or 3, please describe your career phase on the application form. For example, the grant classification cannot be justified to cover the cost of supplies or travel. Work partners apply in the same application but in individual sections and choose their own grant category. 4. Are you applying support for travel? You can apply for support for ecological travel to Finland from outside Finland and travel from the Global South. For these expenses, please attach a budget to your application. We do not grant support for supplies, travel within Finland or travel by environmentally unsustainable means of transport from outside Finland to the Saari Residence, daily allowances or salaries. 5. Attach a separate work plan to your application. A work plan must be attached to all applications as a PDF, in addition to the summary requested on the application form. For more guidelines on how to write a plan, see Attachments. 6. Will you be applying for funding for the same project from other sources? Applicants must immediately inform Kone Foundation if funding is received from any other source during Kone Foundation’s application processing or if your situation changes significantly after the application has been submitted. 7. Compulsory attachments Before submitting your application, please check the Attachments section to see which attachments are required for your application. 9. Will I need recommendation? Recommendation is not a compulsory attachment. It can be a valuable tool to assist the evaluator in the evaluation process. The recommender should know the applicant and the project for which funding is requested well enough to add value to the application. For example, a recommendation may confirm the project’s relevance in the field of arts (projects that are innovative in the field) or open up the planned cooperation to the evaluator of the application. Read the guidelines on recommendation and contact your recommender in good time. Important dates Open call for Saari Residence is open 1 – 27 March. Send your application with the attachments via the online service by 27 March, 4.00 P.M. EET (Finnish time). Degree diplomas and permits for the public defence of academic dissertations can be sent by 15 April using the online application service. Funding decisions are announced in 15 June 2024.
